Overview

Designing every layer of the care experience.

Neuranimus began with an ambition: bring academic-tier neurological care into a more accessible community setting for patients and hospital partners. Turning that ambition into a working practice meant building far more than a clinical service.

We worked alongside Neuranimus from its formation, shaping the practice from the inside out. Together, we defined the brand, patient and clinician experience, clinical logistics, back-office workflows, clinic environment, and purpose-built technology, while helping form and train the operations team.

As Neuranimus moved into active care delivery, the partnership evolved with it, supporting contracted inpatient services and the San Jose clinic across clinical workflows, AI-assisted documentation, billing, analytics, payer strategy, business development, and ongoing operations.

The result was a coherent patient experience, a functioning clinical operation, and a foundation built to evolve with the practice.

The Challenge

Making the whole practice work as one.

Starting a neurology practice took more than opening a clinic and picking software. The brand had to create access, the space support care, clinical workflows move reliably, technology fit the work, and the team know their roles.

Every layer depended on the others. Referrals, scheduling, clinical logistics, documentation, and back-office work had to function as one chain. Technology had to support care delivery, while the brand and physical environment made the experience coherent and accessible.

The chain continued beyond the encounter. Completed care had to become clean claims, with payer and patient balances billed, paid, and reconciled. At the same time, Neuranimus was launching a clinic, coordinating hospital work, expanding payer and referral relationships, and assessing network economics.

Off-the-shelf tools could handle individual tasks, but not define how the whole operation should run and evolve as care was delivered.

The Partnership

Building the workflow.

We did not deliver just working software, but a working operation.

We worked alongside clinical, administrative, billing, payer, and referral teams to understand how work moved through the practice, including the exceptions ordinary workflows miss.

From unmatched faxes and incomplete referrals to unfinished notes, missing claims, and unresolved balances, those realities shaped both the operating model and the tools built around it.

Embed in the operating reality

Map the people, handoffs, exceptions, and incentives before deciding what to build.

Build the missing layer

Turn the operating model into a product, integration, automation, dashboard, or playbook and test it in the real environment.

Build the team behind the system

We recruited, trained, and continue to manage Neuranimus’s full support team, establishing clear ownership of daily workflows while supporting and extending the operation as the practice evolves.

Our approach

Building the full circle of care.

The result is a connected care experience, expressed through the brand, physical environment, products, workflows, data, and trained operators behind the day-to-day reality.

Designing a brand experience

We helped define the Neuranimus brand, public website, and clinic environment, creating a consistent expression of its accessible, specialist-led care model across digital and physical touchpoints.

From initial concept to everyday use, a flexible brand system designed to support how Neuranimus communicates, welcomes patients, and delivers its experience online and in person.

Bringing clinical & operational work into one single place

Designed around Neuranimus’s workflows, we created an auditable platform connecting patient records, referrals, scheduling, tasks, communications, insurance, and clinical documentation, giving the team one shared view instead of disconnected inboxes and applications.

A shared patient view connects records, automatically captured call details, and follow-up tasks, keeping every interaction in context.

AI-assisted documentation across the care workflow

Referral documents and become structured, actionable information. Extracted referral data supports back-office follow-up, while draft clinical notes are prepared for clinician approval, reducing manual work from intake through care delivery.

From referral intake to consultation notes, AI structures information and prepares drafts for clinical review.

The last mile of patient billing

A billing and payments app connects claims and patient balances to bill review, statements, secure payment links, and reconciliation, giving patients a simple way to pay and the team one visible process from balance to resolution.

From accessing their account to reviewing statements and making payments, patients have a clear view of what they owe and what they’ve already paid.

Turning insight into progress

Revenue intelligence

We connected clinical activity with claims to surface unbilled care and show where timing, aging, rejections, or denials were affecting revenue.

Payer intelligence

We combined payer-transparency and practice data to benchmark reimbursement, network participation, and contracts against market rates and operating economics.

Prototyping what’s next

We tested scheduling, hospital rounding, communications, eligibility, referrals, and pricing in real workflows before turning the strongest ideas into lasting capabilities.

The impact

The value is the continuity between the parts.

The lasting impact was a practice able to improve as it operated. A connected foundation helped Neuranimus identify friction, act on it, and adapt as its services, team, and commercial relationships evolved.

A coherent patient experience

The brand, public website, care environment, and operational touchpoints express one accessible, specialist-led model.

More room for care

Connected documentation, referrals, operational tasks, billing, and payer workflows help keep avoidable administrative work out of the clinician’s path.

A practice that learns

Connected clinical, financial, and market data make problems easier to trace and turn into lasting operational improvements.

Why it mattered

A technology-enabled clinical platform that frees providers to focus on care.

Neuranimus can deliver complex neurological care without allowing administrative complexity to define the clinician or patient experience.

Incoming information becomes structured work. Encounters become reviewed documentation. Completed care moves into claims, billing, and payment. Operating and market data inform payer decisions.

Each improvement leaves behind a reusable capability, clearer data, a trained operator, or a repeatable playbook, creating a connected foundation that can keep evolving with the practice.
